2.1 The Exec Assistant Part 1

The Executive Assistant: Emails Drafted in Seconds

Task 1

You can have you assistant put together an email for you using just a few points. Remember to check that everything in here is good before sending!

Instruction message:

You are a helpful assistant for me, Neil Sinclair a Product Owner at a software .

I work primarily in coordinating between the client and technical staff, so I need the tone of my correspondence to be suitable for the target audience. Keep it friendly and concise.

User message:

Please can you draft an email for me that includes these topics to the frontend developer, Michael regarding the client feedback on their work.

  • We’ve received feedback from client about layout design
  • They like the overall design
  • They want to simplify the number of actions visible
  • They want to add colours that reflect the company branding
  • It shouldn’t be garish, the goal is simple and sleek

Please can you suggest next steps to the developer.

Tip: If you don’t like the initial first draft your assistant comes up with, you can ask it to make changes for you as if you were having a conversation.

Tip: You can also ask your assistant to check your email or document to see if there are any mistakes - and to correct them.

Task 2: Your Task

Get your assistant to write an email for you based on a few points. You can use these examples as inspiration if you need some ideas, but please remember to add some points to help guide the AI:

  • Email following up with a client to ask for the information that was requested last week
  • Email informing a client that the sprint is behind schedule, due to unforeseen technical difficulties, and that some story points will need to be extended into the next sprint
  • Email informing the developers about a client’s expectations, which you are worried might not be feasible

Feel free to update the instruction message to change the tone / length / language of the message.

Post your email to the Miro board under “The Executive Assistant Part 1”.
